This guide explains how to create a Craft/Gallery service item in RecTrac for the Brentwood Arts Exchange (BAE). These items are used to register artwork in the system using a standardized format. Follow the steps below to ensure consistent setup across all entries.
- Navigate to the Service Item Management screen in RecTrac and click Add to create a new item.
- Fill out the Core Settings as follows:
- Service Item Code: "BAE - Customer Last Name". Example: BAE - Adams
- Long Description and Short Description: "Craft/Gallery - Customer Full Name". Example: Craft/Gallery - Jane Adams
- Type: ART
- Subtype: ARTIST
- Category: BAE
- Leave all other fields as default and switch to the Fees tab.
- Click Add at the bottom of the screen and then select Add Fee.
- Fill out the Fees tab as follows:
- Fee Description: BAE Gallery Sales
- Amount: $0.00
- Revenue GL Code: 4825
- Revenue Cost Center: 13580
- Check the box next to Fee Required
- Tax Table: MD 6% Sales Tax
- Fee Group Code: POS Prompt for Fee Amount
- Minimum Payment Option: Percent - WebTrac Only
- Leave all other fields as default. Click Save.
Once the Core and Fee tabs have been completed and the item has been saved, it will now be available for use as a service item.
Note: The fee is set to $0 because the actual sale price varies and is handled outside of this setup. This item is used to register the artwork in RecTrac for tracking and reporting purposes.
