Daily Drop-In Visits

Use this article to process daily passes and drop-in visits in PARKS DIRECT, including both existing customers and guests not already in the system.

Daily passes and drop-ins must be processed using an individual staff account. If you are unable to complete a transaction, check with your supervisor to confirm your account access.

Drop-ins for classes are available only within a limited window around the scheduled class time.

Customer Identification for Daily Passes - When selling a daily pass or drop-in visit, take a moment to view the customer’s ID when entering their name. All daily visit transactions require complete and accurate customer information at the time of sale.

Failure to collect this information may prevent or delay a proper response by Park Police in the event of incidents involving facility visitors.

Processing Daily Passes and Drop-In Visits

In RecTrac, daily passes and drop-ins can be processed from either:

  • Menu > Processing > Pass Visit Processing (faster, recommended)

or

  • Menu > Processing > Global Sales

  1. From the RecTrac Home screen, open the Menu (top-left)
  2. Select Processing
  3. Select Global Sales

Option A: Customer Already in RecTrac

  1. Search and locate the customer
  2. Click to highlight the correct household member
  3. Click Select (bottom right) - this opens household's Purchase History tab
  4. From the options bar, select the Visit tab (use the arrow to scroll to the right if needed)
  5. Select Daily Visit
  6. If prompted, enter the quantity of drop-ins or visits needed and click Continue
  7. In the Daily Pass Selection window, choose the pass or visit type

The item is added to the transaction and will appear in your cart.

Proceed to checkout and process payment as usual.

Option B: Daily/Guest Household (Customer Not in RecTrac)

  1. Click Skip
  2. Select Daily/Guest Household

The Global Sales – No Household screen opens. You will start on the Purchase History screen by default.

  1. Select the Visit tab (use the arrow to scroll to the right if needed)
  2. Click Daily Visit
  3. In the Daily Pass Selection window, choose the pass or visit type
  4. If prompted, enter the quantity of drop-ins or visits needed and click Continue

The Guest Information window appears.

Be sure to view the customer’s ID when entering their first and last name. Confirm other contact details directly with the customer.

Complete all required fields:

  • First Name
  • Last Name
  • Phone Number
  • Email Address

Finally, click Continue.

The item is added to the transaction and will appear in your cart.

Proceed to checkout and process payment as usual.
