How to create an extended care section for day camps

With PARKS DIRECT, creating an AM/PM extended care section for day camps is similar to creating regular sections. One key difference is in the type of rule that you will use.

When creating Before/after cares, there are two options. You may either create care sections for each camp individually, or create a pair of before and after sections that contain participants from multiple camps.

Create an extended care section from scratch

1. Log in to PARKS DIRECT and go to Activity Section Update

Log in to PARKS DIRECT and  go to Management > Activity Management > Activity Management on the sidebar menu.

Filter the datagrid by entering day camp under Short Description and extended care under Subtype. Press Enter on your keyboard.

Then highlight the extended care that matches your day camp's needs on the datagrid, and select Section Management at the bottom of the Activity Management screen.

Select Add on the bottom of the Activity Section Management screen and then Continue on the Default Record Add pop-up window.

2. Core tab

The extended care's begin and end dates must match the camp's begin and end dates. In other words, there needs to be extended care for every day of camp. The same goes for maximum headcount. Even though all campers might not attend, an extended care section needs to be large enough to accommodate all campers.

On the core tab, Overall Max Count needs to be large enough to accommodate every camper. The extended care and day camp's Begin Date and End Date also need to match the camp's begin and end dates.

Scroll down then select WebTrac Settings. PARKS DIRECT will expand the program's WebTrac settings.

Enter your program's keyword search phrases into the Keyword Search box. Separate keywords and phrases with a comma. Add as many keywords or phrases as you'd like.

Keyword search phrases help customers quickly locate the programs they're interested in. When customers enter your program's keyword into WebTrac's search box, they will see your program listed as a result.

3. Fees tab

Extended care fees are predetermined and need to align with its duration.

Select the Fee tab to the right of the Core tab on the top of the Activity Section Update window. Next, scroll down the datagrid and select Link Set > Link SDC Fees.

If you don't see Link SDC Fees (Summer Day Camp Fees), then select Link Set As Unchangeable.

Enter B/A in the Description filter on the Set Maintenance  Fee Set pop-up box and press Enter on your keyboard.

Then highlight the fee that matches the camp's extended care duration and select Create Set Template on the bottom-left.

4. Rules tab

Select the Rules tab then move down then select Link Set > Add Rule from Template.

If you don't see Add Rule from Template then select Link Set As Template.

Type prerequisite in the Description filter on the Set Maintenance Rule Set pop-up window, then press Enter on your keyboard.

Highlight the Template - Section Prerequisite rule. Then select Create Set Template on the bottom-left of the pop-up window. 

By using this template, AM/PM sections will only be available to clients registered in the primary section.

Back on the Rules tab, select the prerequisite rule you just added, then select Change > Change Rule on the bottom-left of the screen.

Move down the screen and highlight Activity Prerequisite in the Linked Criteria area. Select Change, and PARKS DIRECT will open the Criteria Update pop-up window.

Enter the day camp's activity code in the Activity Section List box, which will link the extended care section to the day camp. Then select Save on the bottom-right corner of the screen.  

Select the arrow inside the Activity Section List box and use the picklist to find your camp's activity code. Select Add once you've found and highlighted your camp's activity code.

You can enter multiple-day camp sections, which will link multiple-day camps to your extended care, into the box.

Lastly, save your extended care section by selecting Save on the bottom-right of the Activity Section Update window.

Create an extended care section from an existing one

Cloning an AM/PM Care Section

Once you've created an extended care section (AM or PM) for a day camp, use PARKS DIRECT clone tool to quickly create an identical one.

Highlight the section from the datagrid that you want to duplicate then select Clone. PARKS DIRECT will open the File Maintenance Clone pop-up window.

Enter a section code for this new section (the clone) in the New Record Code List box. Then select Continue on the bottom left of the pop-up window.

Go to the Section code cheat sheet if you aren't sure what the clone's section code should be.

Select the Edit Row icon to the left of the section's activity code.

The only things you need to change are the clone's Begin Time and Short Description boxes.

Now change the clone's description and start times, which you will have to scroll to the right to edit.

When you're done, select the Edit Row icon again to save the clone. And now you've cloned the extended care section!
