Where is the data entry review report (DERR)?

Reports built-in to PARKS DIRECT can replicate most, if not all, of the functionality of the retired data entry review report (DERR). Follow these instructions to run reports that will help you proof your course data.

The two following reports help proof your program's data during data entry.

Brochure Generator Report - this report is like the old brochure information report. It consolidates the same information, which goes into the Your Guide, into a single report.

Activity Section Proof Report (Fees, Rules & Questions) - this report lists the fees and rules linked to each course.

Locate the Brochure Generator and Activity Section Proof reports

Report criteria

Selecting a report will open a new panel with the criteria screen. This screen is for telling the system exactly which records you want on your report. This screen is the same for both brochure generator and fee/rule proof reports.

Log in to PARKS DIRECT and select the menu icon on the upper left. Then select Reporting > Report Output Listing. Both reports, Brochure Generator and Activity Section Proof reports (and others) are under Report Output Listing.

Select Module/Group: Activity - Setup on the Report Headers datagrid.

Move down the datagrid and double-click either report.

Select Continue on the pop-up window.

Run the report

The main part of the screen is the Activity Section Datagrid (1). Using the datagrid filters at the top of each column, you can shorten the list of sections however you like. For example, you can filter by activity code, status, description, type, location, etc.

After filtering the datagrid, you can select courses by checking the boxes to the left of a section or select Options > Select All Rows, which selects all currently visible rows.

Other parts of this screen contain several other filters. You can filter by section code range, category, type, and subtype, and section date range.

Once you have picked your filters, click the Process button on the bottom left. The next screen will be different depending on which report you're running.

Brochure Generator Report options

The pop-up window has options for the brochure generator report. Here you can choose how to sort your report and what information to print (1).

  1. Use the output options Preview and Email (2). The Print option may not work because requires specific software that needs to be on your PC.  
  2. If you choose Preview, a PDF version will open after running the report. From here, you can print the report like you would any other PDF.
  3. If you check the Email Report checkbox, you can edit the Email Options section (3). The Email address field will automatically have your email address entered. Use the Email Subject and Body if you'd like to send some additional information along with the report.
  4. When you are ready to run the report, select the Continue button (4).

Depending on how many sections you run the report for, it may take a few minutes to generate. Once the report is complete, the preview will appear, or you will receive an email with the PDF report.

Activity Section Proof Report (Fees, Rules & Questions) options

The top half of the options screen (shown below) for the Activity Section Proof Report (Fees, Rules & Questions) report is different from the Brochure Generator report.

  1. On this screen, you can choose whether or not to print Fees, Rules, and Questions (1). You can also add optional fields to the report (2), though in most cases, it's unnecessary.
  2. Use the output options Preview and Email (3). The Print option may not work because requires specific software that needs to be on your PC.
  3. If you choose Preview, a PDF version will open after running the report. From here, you can print the report like you would any other PDF.
  4. If you check the Email Report checkbox, you can edit the Email Options section (4). The Email address field will automatically have your email address entered. Use the Email Subject and Body if you'd like to send some additional information along with the report.
  5. When you are ready to run the report, select the Continue button (5).
Other reports

PARKS DIRECT has many other reports. To view all the different report options:

  1. Select the Reporting tab on the menu's sidebar.  
  2. Select Report Output Listing. This will open the Report Output Listing program in a new panel.

Report Output Listing lists all the different reports in PARKS DIRECT, grouped by module and category. For the purposes of program data entry, you only need to focus on the Activity - Setup group.

By selecting a report, you will see a preview of the report with sample data.
