Office 365 groups exist to represent all staffed facilities and major programming groups in the Department. These groups provide a variety of benefits to both customers and staff.

Benefits of Group Use

Email groups:

  • Provide our customers with one point of contact for each facility or programming group, allowing them to request information or start a dialogue that helps them participate in services we offer
  • Create a "privacy shield" for staff to avoid giving out personal email addresses for generic external business
  • Centralize communication in a shared mailbox for the shared management team of each facility/programming group, making it easier to see who's handling which customer issue
  • Lay the groundwork for a Microsoft Team behind each group and access to all the functionality of Teams (chat, document repository, etc.)
  • Are managed directly by the group owner (usually facility manager). Adding and removing members can be done directly by that person and doesn't require a ticket to ITCD
  • Increase marketing capabilities, giving customers one more way to connect with us
  • Can collect voicemail notifications for messages left on the shared facility voicemail box, allowing staff to monitor that outreach while outside of the building (set up by request--contact ITCD)
  • Serve as a resource for who's a point of contact for each business process (which can be viewed using the Outlook Global Address List)
  • Allow for automation in messaging for regular communications like bank deposit notifications, waitlist alerts, etc., increasing the speed and efficiency with which we can work

Getting Started

When you are first added to a group, you will receive a welcome message. This message details some of the features available as well as shares basic information about the particular group and a link that takes you directly to its management in your inbox.

View Messages in Your and In Group's Inbox

When emails are sent to the group, they will arrive in the personal mailbox of each group owner and member. You can reply directly from that message (personally or using the "Send As" option described below), delete, save to a personal folder, etc.

You can also view all mail sent to the group (including anything you have deleted from your personal mailbox) under Groups in the left navigation pane, either in Outlook or Office365. Scroll below your mailbox folders to find the Groups listing.

 

Missing a message? If you are a member of a group, you will not see any messages you send in your own inbox.

Here, you can view and interact with the mail separate from that in your inbox.

Only the group owner can permanently delete a message from the group's inbox.

If you are not seeing a message in your inbox that you expect, you can confirm whether you are set to follow the group in your inbox. This setting should be enabled by default but you can double check by visiting the group properties.

In Office 365, click on the group and then the three dots and choose Settings.

Confirm that "Follow in inbox" is selected or select that option.

In Outlook, click Group Settings and ensure that "All Emails and Events" is selected under Follow in Inbox.

Send Messages On Behalf Of The Group

Rather than send a message using your own name, you can "Send As" the group name so that the email displays as if it's been sent by the facility/programming group.

Begin to draft a new message. In Outlook, click on the Options tab; click on the 3 dots to expand the menu and choose From under Show Fields.

In Office365, click the 3 dots and select Show From.

Click on From and select Other Email Address.

Start to type the group name and select the correct option. Click OK.

The email group name will now appear as the "From" address rather than your personal email address.

View Group Properties in Outlook/Office 365

To learn more about a particular group (including who are the owner(s) and member(s), view its properties in Outlook or online through Office365.

In Outlook, visit the home tab and click the Address Book icon (or hold down CTRL + SHIFT + B on the keyboard).

Start typing the display name of the group until you see the correct entry.

The name may be different than the email address itself (e.g. Southern Regional Technology and Recreation Complex--type "Southern" even though the address is [email protected]).

In Office365, click on the Apps menu in the upper lefthand corner and open the People app (or visit https://outlook.office.com/people/). Type the group name in the search bar.

Modify Group Membership

Group membership is managed by the group owner (typically, the facility/program manager). If members need to be added or removed, the owner can do the modification. If the owner must be changed or is unavailable, contact ITC for assistance.

While viewing the group in Outlook or Office 365, click on Group Settings and select Edit Group.

To add a member, type their name under Add people and click the magnifying glass.

To remove a member, click their name in the list and click the red X that appears to the right.

Create A Microsoft Team For The Group

Open the Teams app on your computer and click on the Teams icon.

Select Join or create a team.

Select Create team.

Select From a group or team.

Select Microsoft 365 group.

Select the appropriate group and click OK.

Get started using your team!

Use the Files section for sharing and collaboration on documents.

Rather than placing your personal email on a PARKS DIRECT section to receive notifications about customer participation, you can utilize the group address.

When sections are cloned for a future session, the configuration info will copy over to those sections as well.
